For boards of charities and trusts · In use
A board record every trustee can trust.
Board Hub gives your board one place for the agenda, the vote, the minutes and the strategy, so the record is complete, numbered and sealed.
The problem
Sound familiar?
- The board runs on email threads. Papers in inboxes, decisions in replies, the latest version unclear.
- Decisions without numbers. A board pack records “approved” in the middle of a paragraph, and actions hide inside the prose.
- Meeting notes you have to rescue. A transcript misspells a name and misses who was there.
- Strategy in a file nobody opens. Every trustee is meant to see it, and few do.
- Dates kept in people's heads. Annual return, reporting and review deadlines.
The solution
How it works
The agenda builds itself
from your projects, in the order your board uses.
The pack is one PDF,
generated when the meeting is ready and fingerprinted so everyone holds the same version.
Each trustee votes
on the record, and resolutions between meetings (flying resolutions) are handled the same way.
Minutes are prepared by one person and approved by a different voting trustee,
then signed electronically.
Every resolution is numbered
(2026/01, 2026/02 and so on), and actions are pulled out and followed up.
Strategy connects down to the work:
goals, projects and actions every trustee can see.
In practice
A closer look: one meeting, start to finish
The secretary opens the meeting, and the agenda is already there from the project table. Trustees record attendance and declare any conflicts. The board votes, each resolution takes the next number, and the pack goes out as one PDF. The minutes are prepared, approved at the next meeting by a different trustee, and sealed. Once sealed, they cannot be changed, and the history of who did what is kept for good.
What it replaces
Email threads, documents in a shared drive, a spreadsheet of resolutions and a separate list of actions.

In use with a New Zealand charity board, with a second board joining soon.
Approved minutes and resolutions are sealed in the database itself, so the protection holds however the software is used.
Straight answers
- Who holds our data?
- Your board has its own database and its own address, such as yourcharity.cruxms.com, with your name and colours showing. It is hosted on New Zealand soil.
- Can we leave?
- Talk to us about how a full copy of your records is handed over.
- How do we join?
- We are working with our first boards now. Talk to us about joining them.
Built the CruxMS way
Make steps disappear.
The aim is fewer steps. When your systems share one record, the tasks of re-entering, chasing and reconciling go away.
One real thing, one home.
Each fact is stored once, and everything else points to it. Change it in one place and it changes everywhere it matters.
People decide, software watches.
AI drafts and flags, and a person approves. The system keeps watch so you hear about the exceptions, and every action is recorded.
